We strongly recommend that you take out appropriate travel insurance, including cancellation cover.
9. Transfer of a place
If you are unable to attend, please contact us as soon as possible. We may, at our discretion, allow your place to be transferred to another suitable participant. Any transfer is subject to availability, the new participant completing the required registration information, and agreement by the organisers. We reserve the right to charge any reasonable additional administrative or supplier costs arising from the transfer.
10. Cancellation or material change by the organisers
If we cancel the retreat, retreat fees paid to us will be refunded. We will not normally be responsible for separate costs incurred by participants, such as travel, accommodation before or after the retreat, or other personal expenses. If circumstances outside our reasonable control require a material change to the programme, venue arrangements or named practitioners, we will aim to provide a suitable alternative where reasonably possible.
11. Minimum participant numbers
The retreat is dependent on sufficient participant numbers to make the event viable. If minimum numbers are not reached, we may cancel or reschedule the retreat. If we cancel for this reason, retreat fees paid to us will be refunded.
12. Travel insurance
We strongly recommend that participants arrange appropriate travel insurance covering cancellation, illness, travel disruption and other circumstances that may prevent attendance. Participants are responsible for their own travel arrangements and associated costs.
13. Accommodation and room allocation
Accommodation is provided across a number of apartments at Pickwell Manor.
A limited number of single and shared occupancy rooms are available. Shared occupancy is limited to a maximum of two participants per room. Where unrelated participants share a room, separate beds will be provided. Couples may share a double or king-size bed if they wish.
Single occupancy rooms are limited and subject to availability.
You will be asked for your room preference after booking. We will do our best to accommodate your preference, but a particular room or room type cannot be guaranteed unless it has been specifically confirmed in writing.
If your preferred room type is unavailable, we will contact you to discuss the alternatives before finalising your accommodation.
14. Meals, dietary requirements and allergies
Meals provided as part of the retreat programme are included in the retreat fee. Participants will be asked to provide dietary requirements and allergy information before the retreat. We will pass this information to the caterer and venue, but participants with medically significant allergies or complex dietary needs should contact us before booking so that suitability can be discussed.
15. Accessibility and health requirements
Pickwell Manor is a historic property and some areas may include steps, uneven ground or limited accessibility. If you have mobility, accessibility, health or other requirements that may affect your participation, please contact us before booking so that we can discuss reasonable arrangements and whether the retreat is suitable for you.
16. Programme and participation
The retreat includes CFT teaching and experiential exercises, yoga and breathwork, a restorative sound bath and optional outdoor activities. Participation in experiential or physical activities is voluntary. You are responsible for deciding whether an activity is suitable for you and for informing the relevant practitioner of any health issue, injury or limitation that may affect participation.
17. Personal responsibility and conduct
Participants are expected to behave respectfully towards other participants, practitioners, venue staff and the property. We reserve the right to ask a participant to leave if their behaviour is seriously disruptive, unsafe, threatening or inappropriate. In such circumstances, no refund will normally be provided.
18. Confidentiality and group setting
Participants are asked to respect the privacy and confidentiality of others. Personal material shared by other participants during group discussions or experiential exercises should not be shared outside the retreat. While the organisers will encourage a respectful and confidential group environment, we cannot guarantee the actions of individual participants.
19. Photography and publicity
We will not use identifiable photographs or recordings of participants for publicity without appropriate consent. Participants are asked not to photograph or record other attendees without their permission.
20. Personal belongings
Participants are responsible for their own belongings during the retreat. The organisers cannot accept responsibility for loss, theft or damage to personal property except where liability cannot legally be excluded.
21. Liability
Nothing in these terms excludes or limits liability where it would be unlawful to do so. Subject to that, participants are responsible for their own travel, personal decisions and participation in optional activities, and for following reasonable safety instructions provided by the venue and practitioners.
22. Data protection
We will collect and use personal information needed to administer your booking and deliver the retreat, including contact details, room preferences, emergency contact information, dietary requirements and relevant accessibility information. Information will only be shared with the venue, caterer or practitioners where reasonably necessary for the organisation and safe delivery of the retreat.
23. Force majeure
We will not be responsible for failure or delay in providing the retreat where this is caused by events outside our reasonable control, such as severe weather, natural disaster, epidemic or pandemic restrictions, transport disruption, government action, venue closure or other comparable events. If such circumstances arise, we will communicate with participants as soon as reasonably possible and consider available options, which may include rescheduling, relocation or cancellation.
24. Changes to these terms
We may make reasonable changes to these terms where necessary before the retreat. Any material change affecting an existing booking will be communicated to the participant.
25. Contact
For booking or retreat enquiries, please contact retreats@redlandpsychology.co.uk.
